TERMS AND CONDITIONS – KATIE’S REAL EXPERIENCE BARCELONA 2025

 1. GENERAL CONDITIONS 

1.1 By booking a trip with Katie’s Real Experience Barcelona 2025, you agree to these Terms and Conditions. 

1.2 If any service included in the program is not used, it will not be refundable. 

1.3 Participants are responsible for arranging their own transportation to Barcelona and must have mandatory travel insurance covering medical emergencies, cancellations, and lost luggage. 

1.4 The following services are not included: 

● Flights 

● Airport-hotel-airport transfers 

● Unspecified meals 

● Tips 

 

2. INCLUDED SERVICES 

2.1 The package includes: 

● 7 nights in 4-star hotels with bed and breakfast. 

● Local guides in Barcelona, Sitges, and Girona. 

● Entrance tickets to Montserrat, La Sagrada Familia, and Parc Güell. 

● Full-time accompaniment by Katie during the trip. 

● Events organized during the tours. 

 

3. BOOKING AND PAYMENT TERMS 

3.1 A 30% deposit is required to confirm the reservation. 

3.2 The full payment (100%) must be completed 30 days before the trip starts. 

3.3 If the group does not reach the minimum required participants, the full deposit (100%) will be refunded. 

3.4 A booking is considered pending until the minimum number of required participants is met. Once the minimum is reached, the trip is confirmed, and all travelers’ spots become confirmed. 

4. CANCELLATION POLICY 

4.1 Cancellation penalties apply as follows: 

● Spot Pending: If the trip has not yet reached the minimum number of participants, the 30% deposit and any additional payments are refundable. 

● Spot Confirmed: Once the trip reaches the required minimum participants, the 30% deposit becomes non-refundable, but additional payments remain refundable. 

● 45 Days Pre-Trip: If you cancel within 45 days before departure and the spot is confirmed, both the 30% deposit and any additional payments are non-refundable. 

4.2 A cancellation is considered effective only when written confirmation is received. 

4.3 If a traveler fails to join the trip, leaves it after departure, or does not use any services, no refunds will be issued. 

5. CONDITIONS AND RESTRICTIONS 

5.1 The trip requires a minimum of 10 participants to take place. If this number is not met, all payments will be refunded in full. 

5.2 Prices are subject to variations based on exchange rates, airfare, taxes, and service costs. If the increase exceeds 10% of the booking price, the traveler may cancel the booking and receive a full refund. 

6. TRAVELER RESPONSIBILITIES 

6.1 Each traveler is responsible for ensuring they have the necessary documentation to enter Spain, including visas, entry permits, and passport validity. 

6.2 Travel insurance is strongly recommended and should cover medical emergencies, cancellations, and lost luggage. 

7. FORCE MAJEURE 

7.1 The organizer is not responsible for trip cancellations or modifications due to events beyond their control, including but not limited to: 

● Natural disasters (earthquakes, storms, etc.) 

● Strikes, riots, or political unrest 

● Airline or transportation delays 

● Public health emergencies (pandemics, epidemics, etc.) 

● Government travel restrictions 

7.2 In the event of force majeure, the trip may be rescheduled. Travelers will have the option to transfer their payments to a future trip or receive a credit for the amount paid. 

8. LIMITATION OF LIABILITY 

8.1 Katie and Vrn-e Travel Planners act solely as intermediaries for trip planning and logistics and are not responsible for: 

● Loss or theft of personal belongings during the trip. 

● Accidents, injuries, or illnesses occurring during the trip. 

● Delays or disruptions caused by airlines, transportation providers, or other third-party service providers. 

8.2 By booking this trip, you acknowledge the inherent risks associated with travel and agree to release Katie and Vrn-e Travel Planners from any liability beyond their role as trip coordinators. 

9. ITINERARY CHANGES 

9.1 The trip itinerary is subject to change due to unforeseen circumstances. Travelers will be informed as soon as possible of any major modifications. 

9.2 If significant changes occur before departure, travelers will have the option to accept the revised itinerary or cancel their booking and receive a credit for future travel. 

10. PHOTO & MEDIA CONSENT 

10.1 By participating in the trip, you consent to the use of your images for promotional and marketing purposes by Katie’s Real Experience Barcelona and Vrn-e Travel Planners. 

10.2 If you do not wish to appear in promotional materials, please inform the organizers in writing before departure. 

11. DISPUTES & COMPLAINTS 

11.1 If you have any concerns during the trip, please inform your tour leader immediately to allow for resolution. 

11.2 Any unresolved complaints must be submitted in writing within 30 days after the trip’s conclusion. 

11.3 Any disputes arising from these Terms and Conditions shall be governed by the laws of Spain and settled in Spanish courts.
