terms of service

contracting our services implies acceptance of the following terms:

1. what does our travel planning service include?

it consists of creating a personalized travel itinerary tailored to each user, based on the preferences indicated in the “let’s plan your trip” form: preferred destinations, travel dates, and suggested budget.

 

2. what will the user receive?

within 5 business days after payment, the user will receive access to an exclusive, password-protected web page with their detailed daily itinerary, including:

  • suggested accommodations in each city, with pricing
  • recommended transport options (air, land, or sea, as applicable), including pricing to connect destinations
  • main attractions and points of interest for each destination
  • all information will be georeferenced and include direct booking links for accommodations, transport, and attractions.

3. first draft delivery

when the website is delivered, a meeting will be scheduled within 5 calendar days. during this time, the user can review the proposal and send feedback to vrn-e travel planners regarding itinerary adjustments, destinations, transportation, or accommodations.

4. revisions

after the meeting, vrn-e travel planners will have up to 3 business days to make the requested changes and update the website.

please note: prices and availability of accommodations, transport, and tickets may vary, as they are based on live rates published by airlines, hotels, trains, etc.

5. booking process

the user will have one week to proceed with bookings of accommodations, transport, and attractions. if prices or availability change during that time, vrn-e travel planners will search for new alternatives. however, after this period, any necessary adjustments may incur an additional fee. this fee will depend on the length of the trip and the number of changes required.

6. access to the travel site

the travel planning service includes access to the web itinerary for the duration of the trip. after the trip concludes, the site will be disabled.

7. virtual support

the service includes virtual support via whatsapp in case of emergency during the trip.

8. responsibility of vrn-e

it is the sole responsibility of the traveler to ensure all entry requirements are met for each country (visas, permits, valid passport, etc.).

vrn-e travel planners is responsible only for the creation of the itinerary and the research of accommodations and transportation. we are not liable for incidents such as accidents, strikes, natural disasters, security issues, political situations, denied entry, health emergencies, or any other force majeure events during the trip. however, we are committed to offering virtual support in case of unforeseen events.

9. refunds and returns

once the itinerary has been delivered, no refunds will be issued. only structural changes, as outlined in point 4, will be included.

10. guarantee

we offer a special guarantee in the event of proven force majeure. if the client cannot travel due to unforeseen circumstances, no refunds will be issued. however, we commit to redoing the search for flights, trains, and accommodations at no extra cost as long as the client decides to continue with the same trip.

if the client wishes to plan a different trip, a new planning service fee will apply.

this guarantee is valid for 1 year from the date of cancellation.
